But beyond my jaundiced eye is a camp out with forum chums and good friends in our own field.. not a an 80-90 run Volksdubfestjamboree.

Like I say....this is leap of faith stuff, it would need volunteers and organisation, perhaps a get together at the site of all interested members (those dedicated enough and have the time to organise etc) not an easy thing I know.
Like I say...this is a great opportunity for the club but it needs grabbing by the scruff of it's neck and taking forwards or it's an opportunity lost.
I certainly would volunteer my time, Michelle is 'the supreme organisor' with lots of experience...we are up for it..

If this venture is club only (certainly at first) and has no financial gain/loss or implications I'm sure there would be more support from those holding the reins of the club itself

Not wishing to put anyone down when I say this......most people are like sheep, they follow, ask them what they want and they often don't really know. What they really want is leadership and decision makers, OK not a dictatorship I agree. so like I say: BUILD IT AND THEY WILL COME!
BUT...it has to be sanctioned and officially backed and supported by the Club otherwise it's just another 'One Man Event'

I appreciate you may have been down this route before Kev but obviously the circumstances are very different this time. Many of the obsticles and barriers preventing the idea from making it to an actual event last time are sorted. You simply won't have another opportunity like this one dropped in your lap for a long time.

As for those holding the reins of the club Ian......the members are the club, the mods run the site. If this were to be done it would be 'the members' doing the work with the backing and approval of the club mods..
Involvement of individuals who happen to be mods would be advantageous all the same but the majority of the organising would need to be by volunteers, in my opinion.

I certainly think that there is a case for keeping this 'in house' as a first event. Perhaps PMing all members with an invitation to this CLUB EVENT and getting members to volunteer their time as well as using any influences in regard of Trade/Auto jumble/bouncy castles/music etc to attend.
Personally I don't think this would work as a 'BIG CAMP' it needs to be an 'EVENT' with stuff that people want to come and see as well.

I agree that a club meet to try out the venue is the best option. If the venue is suitable for an 80-90fest type event, then discuss that later.

The issues were ...

Insurance ? ... Sounds pretty much ok

Location ? ... sounds like we may be sorted, and it's geographically pretty central

Adequate Facilities ? ... again, sounds like this may be sorted, what's the disabled access/facilities like ?

Numbers ? ... Of the 11500 'members' how many would turn up ? My guess would be ~120 tops

When ? ... Most weekends are now filled with Dub-this and Volks-that plus the traditional annual 80-90 camps/weekends

Security ... The site stewards police the site but who polices the 80-90 massif ? We had stuff stolen off our van at DF'08 when there were only 80-90 peeps around.

Traders ? ... Would Billy numbers, Mick nw_vw, Simon Baxter and the rest of the traders be able to have stalls if they wanted them ?

Just like to throw my penny worth in i used to help organised big crusies/meets for fun loving flat fours in telford getting other clubs in the midlands to join us we used to have over 100 vw dubs it was a hell of a lot of work and worry
my points are i've been to a few meets now and its all differnet kinds of groups from singles to couples to family to the older generations so to organise an event like this you've got to have entertainment to meet all needs what would there be for the children ie bouncey castle/play area ? would there be evening enterainment for adults ?
as for food or buying beers from the bar isnt the whole thing we have campervans and go to the meets to have bbq or cook our own food drinking beers around a campfire and having a cheap weekend away. I think you would be better off charging to camp per van then if people do want to have food etc they can
I would be interested in helping if this a goer

Hello to you all,thanks for all your ideas and queries,just going back to the disabled question there is disabled access to the toilets in the club and the 24 hour toilets,so it aint a problem.I`ve just been looking thru some of the posts and i bet your all wondering "this all sounds just to good to be true"but i can honestly assure you all what i`ve mentioned is all bang on.We just need this social club to stay open and this field has been sat doing nothing for many years it has so much to offer.It would be great to put this venue on the map.Even if i charge £5 a van that way i would organise a disco/band and whats left to help with advertising costs for future events.My head is full of ideas i.e scooter rallies,bus and truckfest,even battle reanactments(stop laughing at the back) but the vw camper is the one i`m really wanting cos i know your well supported.Right i`m gunna stop creeping now....all questions will be answered. cheers Ross

sorry to bother you all again,just looking thru,something for the kids,we had a bouncy castle, hook a duck and a little ride at the vintage and classic sadly they didnt do to well as the old folk were 2 big and old 2 go on them,but they did say any future events i`ve to give them a callso bring your young uns along,they`re welcome in the club and your pet dogs are to.As for trader stalls not a problem but thats where i would require help,cos i dont know any. thanks again Ross
